Background – PCPC Advisory Council
1. Composition
The Advisory Council will be composed of approximately 10 Club members who meet the following criteria:
- A minimum of two years of playing experience with the Club
- Prior involvement in volunteer roles, committees, or event support
- Representation across multiple play levels to ensure a broad and balanced perspective
Members will be selected for their experience, judgment, and ability to provide constructive, thoughtful input.
2. Purpose of the Advisory Council
The Advisory Council will serve as a non‑governing, consultative body that provides feedback and guidance to the Board on matters affecting the Club’s operations, member experience, and long‑term development.
Its primary purposes are to:
2.1 Assess Board‑proposed changes
The Council will review and provide input on proposed changes or initiatives, including but not limited to:
- Level play structure
- Venue usage or scheduling
- Fee structure
- Membership composition or caps
- Program or policy adjustments
The Council’s role is to evaluate suitability, fairness, and potential impact on the membership.
2.2 Provide member‑driven feedback
Council members will act as a channel for:
- Member concerns
- Emerging issues
- Suggestions for improvement
- Observations about club culture, communication, or operations
This ensures the Board receives ground‑level insight from active, experienced members.
2.3 Support volunteer recruitment for special projects
Council members may assist the Board by:
- Identifying potential volunteers
- Encouraging member participation in Club initiatives
- Helping match volunteers to specific projects or operational needs
This strengthens the Club’s capacity to deliver programs, events, and improvements.
3. Potential Future Responsibilities
As the Council matures and demonstrates effectiveness, its role may expand to include:
- Assessing Play Level Advancement requests
- Addressing certain member complaints
These expanded responsibilities would reduce the administrative burden on the Board while ensuring decisions are informed by a diverse group of experienced players.
4. Meeting Frequency
- The Council will meet 3–4 times per year, or as needed based on Board requests.
- Additional meetings may be convened for time‑sensitive issues.
- A summary of recommendations will be provided to the Board after each meeting.
5. Decision‑Making
The Advisory Council provides non‑binding recommendations.
Final decisions remain with the Board of Directors.

Establishing an Advisory Council will:
- Strengthen communication between members and the Board
- Improve the quality and fairness of policy decisions
